Job Summary
The Administrative Supervisor, Technical Entertainment is a management position primarily responsible for preparing and managing overall Technical Entertainment operational correspondence as well as the overall administrative/document controls and clerical functions that are critical to the development and operations of the division and ensuring these are completed in accordance with established policies and procedures.
Major Responsibilities
• Initiates and manages various actions items or processes. This includes, but not limited to Document Controls, Calendar Scheduling, Meeting Arrangement and Minutes, Team Building, Critical Activity Trackers, Notices, Transmittals, Correspondence, Spreadsheets based on established policies and procedures, Kronos scheduling for direct reports.
• Partners with Technical Entertainment Core Team to ensure the division running in full functions. This includes, but not limited to prepare & manage presentations and decks, asset management, maintenance of office supplies and equipment, reimbursement and ensures timely and accurate processing.
• Manage department procurement activities including coordinate sourcing process, oversee after-sale service, prepare & manage supplier contracts, address sourcing process problems & risks to ensure timely, quality, and quantity procurement.
• Assist to make department operational budget plan and oversee the actual expenditures on a monthly, quarterly, and annual basis to ensure that the budget is sufficient and in compliance with regulations.
• Manage and supervise administrative assistants and other administrative staff, assign work tasks, coordinate workflows, and ensure efficient work processes.
• Coordinates with other division/department coordinators as required to ensure full information integration within the entire Technical Entertainment Team and reviews and submits requests as received from the team managers in order to complete required procedures established to obtain necessary resources and services from the company.
• Responsible for identifying ways to improve the efficiency/accuracy of all documentation process which is critical to maintenance of over division management.
• Designs, initiates, and executes multiple workflows as the needs emerge by utilizing company provided IT platforms and other resources in order to deliver a smart, friendly and efficient office administration.
• Understands and actively participates in Environmental, Health & Safety responsibilities by following established UBR policies, procedures, trainings, and team member involvement activities.
• Perform other duties as assigned and commit to perform duties at the highest level possible on a consistent basis.
Qualifications
• More than 5 years of administrative management or equivalent experience in large-scale enterprises; experience in Entertainment related industry is preferred;
• Familiar with the company's administrative management system and system development;
• Excellent interpersonal communication and coordination skills, strong planning and execution skills; capability to analyze and solve problems; proven ability to meet deadlines;
• Ability to function well in a high-paced environment; performs additional duties as assigned;
• Proficiency in MS Office and other desktop publishing software; ability to design and edit graphic presentations and materials; capability to analyze operation data;
• Must be a team player, be able to think outside of the box and have team-oriented experience & approach.
• Proficient English skills.
Education
• Full-time bachelor's degree or above; Administration, Business Administration or other related majors.
